Guidelines
To submit a proposal, please read information below and then send an email with proposal files attached to Dr. Norah Hooper [nhooper@umw.edu]. Please put “2011 Fall Proposal” in the subject line.
The 2011 Fall Conference of the Virginia Council for Exceptional Children will be held in Lynchburg, VA, at Liberty University. The theme selected by the VA Board is Transforming Special Education in the 21st Century.

The 2011 Fall Conference Planning Committee encourages formats that use multiple presenters, undergraduate and graduate students, classroom teachers, teacher educators at all levels, other school personnel, and policy makers.
Forty-five minute sessions addressing the conference theme or other VA-CEC interests are scheduled for November 18th. These sessions may include the application of research, position papers, descriptions of existing programs/practices, or innovation in special education. Proposals of the following types are encouraged. Webinar conference proposals will also be considered.
A. Single Paper Format: Single-paper presentations provide an opportunity for participants to share a synopsis of their work. The presenter typically allows 30-35 minutes to present followed by 5-10 minutes of discussion.
B. Research Reports: A research report represents a well-formulated study related to a conference strand that presents preliminary data and/or results and conclusions from data analysis. A research presentation is grouped as a forty-five minute session. Participants should be given the opportunity to discuss the study and its preliminary findings. Research should be original and not published prior to the conference.
C. Poster Sessions: Presenters are given the opportunity to display their work in an informal setting. Presenters are encouraged to engage visitors in dialogue focusing on the work displayed on the poster. Poster sessions are also scheduled at 45-minute intervals.
[NOTE: Each proposal, regardless of format, must include all items under A (Cover Page) and B (Abstract of Presentation) and sent as separate attachments to Norah Hooper [nhooper@umw.edu].
A. Cover Page
1. Title of the Session.
2. Type of Session: Identify as a Single Paper Presentation, Research Session, or Poster Session
3. Session Organizer: Name, title, institution, e-mail and mailing addresses, fax number, and office telephone number.
4. Additional Presenters: Same information as Session Organizer.
5. Subject Descriptors: Identify the strand this presentation most closely relates to and include three one-or-two word descriptors for the subject index.
6. Summary for Conference Program: Describe the session in thirty words or less for use in the conference program. Be precise in describing the content of the session to aid attendees in selecting topics relevant to their interests. Proposals that do not include this summary or go beyond the thirty-word limit summary may not be considered. The summary may be edited by the program committee prior to the conference.
7. VA-CEC Participation and Professional Role: Please identify your professional role (e.g., college or university faculty member, college or university administrator, graduate student, classroom teacher, preK-12 administrator) and level of VA-CEC involvement (member, non-member, conference newcomer). Please note that all proposals are blind-reviewed and that this information will in no way affect the status of your proposal but will be used for scheduling accepted proposals and for communicating with presenters about other role-specific opportunities offered via VA-CEC.B. The committee may not review a proposal that does not follow this format. Proposals will be reviewed on the basis of how well each component of the abstract is addressed in the submission.
Due Dates and Submission:
Proposals must be submitted by September 30, 2011. Send an email with proposal files attached to Norah Hooper [nhooper@umw.edu]. Please put “2011 Fall Proposal” in the subject line. An email confirmation that your proposal has been received will be sent to the session organizer.
Please note that conference organizers cannot guarantee requests, but every effort will be made to accommodate scheduling preferences. Electronic notification of acceptance/rejection will be made on a revolving basis. Electronic confirmation of official presentation date and time will be sent in a timely manner.

Late Submission – After October 1, 2011: Proposals submitted electronically will be accepted on a revolving basis until October 15, 2011, but there is no consideration of presenter’s request for specified days and times. Electronic notification of acceptance/rejection will be made by October 31, 2011. Electronic notification of official presentation date and time will be sent by November 7, 2011.

Consistent with the traditions of VA-CEC, submissions may address research, teaching, and service in special educational. Experienced presenters as well as novice.
professors of special education are encouraged to submit proposals to present at the conference. Proposals for paper sessions, poster sessions, and research will be considered based on the conference theme under a primary strand. Graduate students and
recent graduates of special education, administration, and policy studies are invited to submit proposals for sessions, especially poster sessions.A. Formats that utilize multiple presenters are encouraged. Graduate students, classroom teachers, and new VA-CEC members are especially encouraged to submit proposals.
B. All presenters are required to pre-register for the conference. Presenters should have 15 copies of handouts or materials for the attendees.
C. VA-CEC does not provide audio-visual equipment.
D. Information used in the program is copied from the proposal cover page. VA-CEC reserves editorial rights.
E. All communication is with the session organizer who is responsible for communicating with other presenters of that session.
